Booth supplies: This is just a space for you to set up. We do not provide a tent, table and chairs. You must up-fit the space yourself. 

There is no electricity  in the parking lot. Plan accordingly. 

#3 PICK UP YOUR TRAIL PASSES & MUSIC FEST TICKETS

You have three options for pick-up locations:


Monday Sept 29th - 6-9pm at the Sand Hollow Rock Bowl during the Kick Off party- look for the Sponsors/Vendor Signs 


Tuesday-Saturday - 7-10am at the Fairgrounds Registration Booth 


Thursday-Saturday - 3-10pm at the Fairgrounds Registration Booth 

#4 REVIEW THE MOVE IN SCHEDULE BELOW

We prefer certain types of vendor booths move in on certain days to help with logistics. 

#5 MAKE SURE YOU HAVE PAID

If you have not paid you cannot move in until doing so. Jeff has been advised to have you staged in the parking lot until your invoice is paid online via credit card. 

#6 NO SECURITY

Plan accordingly, we do not have security. You are responsible for all your items during the day and after show hours.

You will not be able to enter with your vehicle after 2pm to keep our pedestrians safe and due to liquor permit restrictions. 


Why We Start at 3:00 PM

Our data shows that most of our guided trail rides wrap up by 2:00 PM, and participants often head straight to the vendor area afterward. To meet that flow of traffic, we start the Vendor Show at 3:00 PM—right when beer sales kick off and the energy starts building.

Previously, attendees spent around 3–5 hours in the vendor area. This year, with:

  • All-day beer sales
  • A demo stage in Vendor Row

…we expect guests to hang out 5–7 hours, then flow naturally into the evening Music Festival experience.

New State Guidelines for Vehicle Movement

Because beer will now be served, the state requires stricter safety protocols after alcohol service begins. This means:

  • 3:00–5:00 PM: Vendors arriving during this window must enter through Gate 2 and have someone walking in front of their vehicle to guide them safely to their booth.
  • Vendors should display a sign if they’re setting up late, letting attendees know when they’re vendor booth will be open.
  • After 5:00 PM, Gate 2 closes to ALL vehicle traffic

You do not get an assigned number before arriving if you are a vendor. You will not see your business name on the layout, the yellow (unassigned booths) represent all the vendors who will be give a spot when they arrive. 


VENDORS: Assigned upon arrival; options offered based on availability and logistics

Upon arrival, Jeff (303-909-2557), the site manager, will assist in selecting setup locations based on logistics.


SPONSORS or Paid Upgrades: Get to select and reserve their vendor booths before arriving.


HOW THE MONDAY KICK OFF PARTY CHARITY RAFFLE WORKS:

Donated items will be dropped off to Racing Anxiety's Tapley or Trail Hero's Michelle Dickey before Monday at 4pm. 

People will purchase raffle tickets from Racing Anxiety and then drop them in the raffle bucket for each item they want to win, displayed on the Racing Anxiety table. 


They must be present to win at 8pm and have until 9pm to claim their items. Monday at 8pm all the winners will be pulled and taped to the boxes for each item, Participants will have until 9p to stop by the table and see if they have won anything, show their matching ticket, and claim their prize. Anything not claimed will roll over to the Vendor Show/Saturday Charity Raffle. 


HOW THE SATURDAY VENDOR SHOW CHARITY RAFFLE WORKS:

Vendosr displays their raffle items at their booth Thurs-Sat. Each vendor is responsible for their own raffle ticket collection system and item display. The bigger, the better, the more eye catching items will draw more traffic to your booth. 


People will purchase raffle tickets from Racing Anxiety booth near the Trail Hero Semi and then drop them in the raffle bucket at each vendor booth, in the bucket of the items they want to win, 

Saturday at 3pm, Jeff Miller (Site manager) and Tapley MItchel (Racing Anxiety) will walk around with their helpers and collect the ticket collection buckets and bring them to the Monster Energy Sample Stage for the winner pulls at 4pm on Saturday. 


We pull the winners early so that people still have time to shop and purchase from vendors after they have not won the items they wanted. 


YES, THIS IS A GREAT WAY TO ATTRACT PEOPLE TO YOUR BOOTH! If you offer a great raffle gift more people will drop their raffle tickets in your ticket drop to win your prize. Don't be lame and not offer a charity raffle gift to help raise money for Racing Anxiety.

ROCK BOWL KICK OFF PARTY 

MONDAY SEPT 29

You can access the rock bowl through the back gate near the condos/pool. There is a dirt road, turn right at the end, and pull up to the rock bowl. After you unload you WILL NEED TO move your vehicle to the parking lot on the other side and walk back if your vehicle is not displaying. YOUR Car must be moved by 4pm if you are dropping off.

THIS IS AN OUTSIDE VENDOR SHOW? WHAT COMES WITH YOUR BOOTH

NO POWER

NO WATER

  • Bring your own: Tent, Tables, Chairs, Power, Water, Weights to hold down your items, etc.

NO SECURITY

  • We do not have security after hours
  • There is a fence around the perimeter of the show but it will not be locked
  • You will be responsible for all items during and after hours 

VEHICLE ENTRY POLICY

  • Please read the rules about no entry through Gate 2 after 2pm and before 10:30pm each night of the show LINK TO ARTICLE READ ME

CLEAR BAG POLICY

  • Due to liquor permit and sales, everyone that enters will need to have a clear bag. Cars and vehicles will be searched as well. 
  • You can drive in and drop off supplies before 2pm and after 10:30p each day.
  • There cannot be adult beverages in your coolers. You cannot hand out adult beverages or sell them out of your vendor booth.

SUGGESTED VENDOR HOURS

Thursday, October 2nd – Saturday, October 4th: 

  • 3 pm – 5 pm: Move-in, setup, and beginning of traffic
  • 5 pm – 9 pm: High traffic period (music fest gates open at 6 pm, main event starts at 7 pm)
  • 5 pm – 6 pm: Power Hour — offer discounts and freebies (preferably branded for our 10-year anniversary) to attract show traffic
  • Post 9 pm: Break down or stay open depending on traffic

MOVING DISPLAY VEHICLES IN AND OUT OF THE VENDOR SHOW

New State Guidelines for Vehicle Movement

Because beer will now be served, the state requires stricter safety protocols after alcohol service begins. This means:

  • 3:00–5:00 PM: Vendors arriving during this window must enter through Gate 2 and have someone walking in front of their vehicle to guide them safely to their booth.
  • Vendors should display a sign if they’re setting up late, letting attendees know when they’re vendor booth will be open.
  • After 5:00 PM, Gate 2 closes to vehicle traffic until 10:30 PM.
  • Heavy foot traffic areas (like food vendor row and beer gardens) may be temporarily closed to vehicles at any time, regardless of schedule, for safety of pedestrians.
